CW Mail Hub Privacy Policy

CW Mail Hub (“the App”) is provided by CW Enterprize. This Privacy Policy explains how information is handled when you use CW Mail Hub.
1. Overview
CW Mail Hub is an email-management application that allows users to connect existing email accounts, read and send email, manage messages and attachments, receive email notifications, use signatures, send secure messages, and optionally transfer account settings between CW Mail Hub on Android and Windows.
CW Mail Hub does not require you to create a separate CW Mail Hub account to use your existing email accounts.
2. Information Used by the App
To provide email functionality, CW Mail Hub may process information you enter or receive through your connected email accounts, including:
- Email address
- Email account display or business name
- IMAP and SMTP server information
- Email account password or app-specific password
- Email sender and recipient information
- Email subject lines
- Email message content
- Email folders and message status
- Email attachments
- Email signatures and signature images
- Website information you optionally associate with an email account
- Notification information related to incoming messages
This information is used only to provide the features you request.
3. Email Account Credentials
Email passwords or app-specific passwords saved by CW Mail Hub are stored locally on your Android device using Android encrypted storage.
Credentials are used to connect directly to the IMAP and SMTP servers associated with the email account you configure.
CW Mail Hub does not send your email account password to CW Enterprize for advertising, analytics, or marketing purposes.
Your email provider receives your credentials as necessary to authenticate your account and provide email service.
4. Email Messages and Attachments
CW Mail Hub connects to the mail servers you configure in order to retrieve, display, organize, send, move, or delete email.
Message information may be stored locally on your device so that the App can display your mailbox and provide its features.
Attachments that you open or download may temporarily be stored in the App’s local cache or in a location you select.
When you send an email, the message and any attachments are transmitted to your configured email provider and recipients as necessary to deliver the email.
Your email provider’s own privacy policy and data-retention practices also apply.
5. Secure Email
CW Mail Hub includes an optional Secure Mail feature.
When Secure Mail is used, selected message content and files may be placed into an encrypted secure-message package. The recipient must use the password provided separately by the sender to access the protected content.
The secure-message password is not automatically included in the protected email.
Normal, unencrypted email remains available when Secure Mail is not selected.
6. Notifications
CW Mail Hub may use Android notifications to alert you to new email, account errors, reminders, and other mail-related activity.
Depending on your notification settings, a notification may display information such as the email account, sender, or subject.
Android notification and lock-screen privacy settings can be used to control how much information appears on your device.
Notification permission is requested on Android versions that require user approval.
7. Camera Permission
CW Mail Hub may request access to your device camera for QR-code scanning used to pair or transfer information between CW Mail Hub Android and the Windows desktop application.
The camera is not used for advertising or background surveillance.
Camera access is used only when you activate a feature that requires QR-code scanning.
8. Android and Windows Transfer
CW Mail Hub can optionally transfer email account configuration and signature information between Android and the CW Mail Hub Windows application.
Transfer packages may contain email account information, server settings, saved credentials, and signatures.
Transfer packages are encrypted before being transferred or saved.
Direct desktop transfer may occur over your local Wi-Fi or hotspot network. You may also choose to save or share an encrypted transfer file.
Information you intentionally share through another application is also subject to the privacy practices of the application or service you choose.
9. Local Storage
CW Mail Hub stores information required for operation on your device, including account configuration, mailbox information, preferences, signatures, and related app data.
Saved passwords are stored separately using encrypted Android storage.
CW Mail Hub disables normal Android application backup for its application data.
10. Data Collection by CW Enterprize
CW Mail Hub is designed primarily as a local email client connecting directly to services selected by the user.
The current App does not include third-party advertising SDKs or advertising tracking.
The App does not sell your personal information.
The App does not use your email content for targeted advertising.
Email information is transmitted to your configured email servers and recipients as required for email functionality and may be transferred to your own Windows computer when you intentionally use the desktop-transfer feature.
11. Internet and Network Access
Internet access is required for email synchronization and sending email.
Network access may also be used when communicating with your own CW Mail Hub Windows computer during an optional device-transfer operation.
Your internet provider, email provider, local network, and any third-party service you choose may process network information according to their own privacy policies.
12. Data Retention and Deletion
Locally stored CW Mail Hub information generally remains on your device until you delete it, clear the App’s data, or uninstall the App.
You can remove locally stored CW Mail Hub data through Android’s application storage settings by clearing the App’s data or uninstalling CW Mail Hub.
Deleting local CW Mail Hub data does not necessarily delete messages or information stored by your email provider.
Messages, attachments, and other information stored by an email provider remain subject to that provider’s retention and deletion policies.
Actions performed through CW Mail Hub, such as deleting or moving a server-side email, may also change information stored on your email provider’s servers.
13. Data Security
CW Mail Hub uses reasonable technical measures designed to protect sensitive information.
These measures include encrypted local credential storage and encryption for CW Mail Hub account-transfer packages.
No electronic transmission or storage method can be guaranteed to be completely secure.
Users should protect their devices, email passwords, secure-message passwords, and transfer codes from unauthorized access.
14. Children’s Privacy
CW Mail Hub is a general-purpose productivity and email application and is not designed specifically for children under 13.
CW Enterprize does not knowingly use CW Mail Hub to collect personal information from children for advertising or profiling purposes.
15. Third-Party Services
CW Mail Hub works with email providers and other services selected by the user.
Examples may include Gmail, Outlook, Yahoo Mail, business email providers, private mail servers, or other IMAP/SMTP-compatible services.
CW Enterprize does not control the privacy practices of those third-party providers. Users should review the privacy policies of the services they connect to CW Mail Hub.
16. Changes to This Privacy Policy
This Privacy Policy may be updated when CW Mail Hub features, privacy practices, or legal requirements change.
When material changes are made, the effective date at the top of this policy will be updated.
